1. General

Festivalsgids.be respects the privacy of visitors, organisers, suppliers, partners and other users of the platform. In this privacy policy we explain which personal data we collect, why we process it, how long we keep it, with whom we share it and what rights you have.

We process personal data in accordance with the General Data Protection Regulation (GDPR) and Belgian legislation.

3. What data do we process?

Visitors

Anyone who visits the site without an account leaves few traces. We do measure how many times an event or supplier is viewed and how often a ticket or website link is clicked. This measurement takes place without cookies: only a daily total per item is kept, no individual browsing behaviour, no IP address, no profile.

What you type in the search bar is stored as a separate search term, without any link to you. This way we can see which events visitors are searching for that we do not yet have.

Users, organisers and suppliers

Anyone who creates an account or fills in a profile gives us: first and last name, e-mail address, phone number, company name, company number and VAT number, address details, login details, information about events, and the communication conducted about this.

During sign-up we hold your data in temporary storage for a maximum of twenty minutes, until you enter the code from the confirmation e-mail. If you do not confirm, everything is automatically deleted and no account is created. Your password is never stored in readable form.

Paying suppliers

For a paid subscription we process name, company details, billing details, the chosen package, payment status, invoices and transaction data. Your card details never reach our servers: payment is handled entirely by our payment partner Mollie.

4. Data that organisers publish themselves

Organisers provide information themselves for publication: event name, date and time, location, description, category, website, ticket information, images, logos, contact details, links and information about artists or participants.

The organiser is responsible for the lawfulness of what they provide, including image rights and the data of third parties contained therein.

5. Why do we process this data?

  • offering and managing accounts;
  • publishing and managing events;
  • subscriptions, billing and administration;
  • customer service and communication;
  • security of the platform and fraud prevention;
  • technical support and improvement of the site;
  • statistical analysis;
  • newsletters and marketing communication, where there is a valid legal basis for this;
  • complying with legal obligations.

6. On what basis?

Depending on the situation, we process data on the basis of the performance of a contract, a legal obligation, a legitimate interest or your consent.

If you gave consent, you can withdraw it at any time. This does not affect what was lawfully processed before that.

7. Newsletters and marketing

If you subscribe to the newsletter, we use your e-mail address to send it. Every marketing e-mail includes an unsubscribe link and you can adjust your preferences at any time.

8. Automated processing and personalisation

We use technical and statistical systems to make content more relevant: categorising events, improving search results and generating recommendations. No automated decisions are made that have legal effects for you. Should this change, we will inform you about it.

9. Automatic import of events

We collect and structure public event information from public sources, websites, feeds and open data from cities and municipalities. Where this contains personal data, we only process it if there is a valid legal basis for doing so. We may adapt, categorise, merge or delete this data to safeguard the quality of the database.

10. Who do we share data with?

We use service providers who support us. They only get access to what they need to carry out their task:

  • Hostinger — hosting of the website and e-mail, with servers within the European Union;
  • Mollie — processing of payments and subscriptions;
  • public data sources such as open data portals of cities and municipalities, from which we obtain event information;
  • technical service providers for maintenance and support of the platform.

The fonts and other components of the website are loaded from our own servers. No data is therefore sent to external parties to display the page.

We do not sell your data and do not pass it on for commercial purposes of third parties.

11. Transfer outside the European Economic Area

Our service providers operate within the European Economic Area. Should any processing nevertheless take place outside the EEA, we ensure the safeguards required by the GDPR.

12. How long do we keep data?

  • Sign-up data that has not yet been confirmed: a maximum of twenty minutes.
  • Account data: for as long as your account exists, and twelve months after that.
  • Invoices and accounting data: seven years, as required by law.
  • Technical e-mail delivery logs: only the last twenty-five messages, for troubleshooting.
  • Statistics on views and clicks: as a daily total per item, without personal data.
  • Search terms: twelve months.

13. Security

We take appropriate technical and organisational measures to protect your data against unauthorised access, loss, destruction, alteration and disclosure. The connection to the site is encrypted, passwords are stored hashed and access to management functions is limited to those who need it. No system offers absolute certainty.

14. Your rights

You have the right to access, rectification, erasure, restriction of processing, data portability and objection, and you can withdraw a given consent.

You can send a request to info@festivalsgids.be. We may ask you to prove your identity before we act on a request, and we respond within one month.

15. Filing a complaint

If you believe we are not processing your data correctly, please contact us first. You also always have the right to file a complaint with the Belgian Data Protection Authority, Drukpersstraat 35, 1000 Brussels, gegevensbeschermingsautoriteit.be.

16. Cookies

We use cookies and similar techniques. What exactly we place and for what purpose is described in our cookie policy.

17. External websites

Our site contains links to third-party websites, for example to ticket vendors and organisers. We are not responsible for their content, security or privacy policy. Please read their own policy.

18. Changes

We update this privacy policy when the operation of the platform, our services or the legislation changes. The most recent version is always available on this page.
